Rostered Subscriptions and Summer Access

Once the school year is finished, teachers and students may wish to continue accessing their accounts, particularly teachers for professional development and upcoming lesson planning for the fall. Maintaining online, auto-rostered resources for teachers and students can be challenging.

At ExploreLearning, we are dedicated to providing school districts with access to Gizmos, Reflex, Frax and Science4Us (depending on your subscription) year round.

As your district has implemented auto-rostering, you will need to follow the steps below to ensure that all users can maintain access to their accounts. This article will describe these steps based on the three types of Rostering Integrations we offer:

  • School Districts Utilizing Clever

  • School Districts Utilizing OneRoster Uploads to Our FTP Server

  • Districts Utilizing the ClassLink API for Gizmos



School Districts Utilizing Clever

  • Please feel free to pause your Clever data feed (Sync Pause) but maintain your current Sharing Rules. Students, teachers and their classes will be retained from the current school year. Users will continue to access their accounts through their school's launchpad or portal.

  • If you stop sharing some users, classes* or institutions, these users will lose access and their accounts will be marked as deleted. Their data will remain, but they will not be able to log in until the data is re-shared in Clever.

  • After your district updates its SIS for the upcoming school year, and the data is ready to push out for the new classes*, students and teachers, you can unpause the Clever data feed from your district. After you unpause the Clever data feed, the updated users and classes* will be created for the new school year.

    *Please note: For Reflex, Frax and Science4Us, your district must have class-level rostering configured for changes to class data in Clever to sync to your accounts.

School Districts Utilizing OneRoster Uploads to Our FTP Server

  • Please feel free to stop sending your district's daily uploads to the ExploreLearning FTP Server.

  • We will maintain the most recent user accounts and classes sent to us until a new OneRoster file is shared. Students, teachers and their classes will be retained from the current school year.

  • Users will continue to access their accounts through their school's launchpad or portal.

  • If you stop sharing some users, classes* or institutions, these users will lose access and their accounts will be marked as deleted. Their data will remain, but they will not be able to log in until the data is re-shared in the OneRoster files.


    **Important: If you send an empty file, all users will be marked as deleted and lose access to their accounts.

  • After your district updates its SIS for the upcoming school year, and the data is ready to push out for the new classes*, students and teachers, you can then share the updated OneRoster files with us. After your district's next nightly sync, the updated users and classes* will be created for the new school year.

    *Please note: For Reflex, Frax and Science4Us, your district must have class-level rostering configured for changes to class data to sync to your accounts.

Districts Utilizing the ClassLink API for Gizmos

  • Please feel free to pause your ClassLink data feed, but maintain your current sharing rules. Our ClassLink integration strictly follows the academic sessions (Quarter, Term, Semester) shared by your district, and classes (or enrollments) are created and deleted according to the academic sessions.

  • At the end of each academic session, classes are deleted and Student Assessment Results from Gizmos are removed. When a new academic session begins, the student is assigned to a newly created class.

  • If you would like your teachers or their corresponding students to be able to access Gizmos during the summer, please be sure that both students and their teacher are assigned to an active class in the current session. Although you are sharing teachers and students, those users must be in an active class that is part of the current academic session.

  • If a teacher does not have a valid enrollment they will not be able to log into their account, and students can only access a Gizmos class if their teacher's enrollment remains valid.
    **Important: Please check the start and end dates for classes to ensure they are valid.

  • After your district updates its SIS for the upcoming school year, and the data is ready to push out for the new classes, students and teachers, you can unpause the ClassLink data feed sent by your district. After the ClassLink data feed is unpaused, the updated users and classes will be created for the new school year.
